V2 : About Appointments/Where to Find Bot Call Information

You will receive an email letting you know a lead has sent an appointment. You can see more information about the lead and the appointment within the leads opportunity card within the CRM. 

 

Finding Call Information in Opportunities

1. Navigate to the Opportunities Tab: The primary place to find call information is under the Opportunities tab within your CRM. Here, deals or leads that have interacted with the bot, such as those where an appointment was set, will be listed.

2. View Details of a Deal: By clicking on a specific deal, you can access detailed information, including the date and time of requested appointments, notes, and call recordings.

  • Notes and Recordings: All interactions, including those where an appointment wasn't set, will have their call recordings and summaries stored here. Note that email notifications are sent only when an appointment is successfully set.

3. Understanding the Follow-Up Process: In cases where the bot makes contact but doesn't secure an appointment or conclusively lose the lead, the information will move to the Follow Up section. Here, you'll find summaries and recordings, indicating the bot's ongoing efforts to engage the lead through calls and texts until a clear outcome is reached.

  • Manual Agent Action: Some interactions may require manual review and action, especially if the bot cannot determine the next steps. These are opportunities for agents to step in, assess the situation, and decide on the appropriate course of action.

Viewing Call Details at the Contact Level

1. Access from the Contacts Tab: For a broader view of bot interactions beyond individual opportunities, navigate to the Contacts tab.

  • Here, you can select a specific contact to see the same detailed call information available in the Opportunities section.

2. Reviewing All Bot Conversations: To examine all conversations handled by the bot, look for entries tagged with a specific identifier (no-reply@highiq.io) within the Contacts tab.
